Terms and Conditions
By booking a program and/or accommodation(s) at Spirit Camp, you agree to the following Terms and Conditions:
1. Booking and Payment
A. SPIRIT CAMP HOSTED PROGRAMS
These are programs organized and managed directly by Spirit Camp.
Booking: A non-refundable deposit or full payment is required to secure your booking.
Full Payment: Any remaining balance will be processed a minimum of 90 days prior to the start date of the program.
Cancellation Policy:
180+ Days Before the Start Date: A refund minus the non-refundable deposit and admin fees. The deposit may be transferred one time to a future program led by Spirit Camp staff scheduled within 12 months of the original program.
179-90 Days Before the Start Date: A refund minus the non-refundable, non-transferable deposit and admin fees.
Less Than 90 Days Before the Start Date: No refunds or transfers.
B. PARTNER-HOSTED PROGRAMS & EVENTS
These are programs facilitated by independent hosts, booked outside of Spirit Camp.
For booking, payment, and cancellation policies, please consult the person you made your reservation with.
C. CABIN STAYS & PERSONAL RETREATS
These are individual accommodations or personalized packages for individuals and small groups.
Booking: Full payment is required to secure your booking.
Cancellation Policy:
30+ Days Before Arrival: Full refund (minus admin fees).
15-30 Days Before Arrival: 50% refund (minus admin fees).
Less Than 15 Days Before Arrival: No refunds or transfers.
2. Meals
Retreat Programs: All meals are typically included in the booking fee unless otherwise stated on the booking site.
Cabin Stays & Personal Retreats: Meals are not included unless specified. Guests have access to the communal kitchen or can explore local restaurants.
3. Medical Conditions
Guests with any medical conditions should consult with their healthcare provider before participating in a program or activity. Spirit Camp staff and retreat leaders are not licensed medical care providers and are not rendering personal medical advice or treatment. If you are uncertain, consult your doctor or healthcare provider before trying a new treatment or healing modality.
4. Liability Waiver
Assumption of Risk: By booking this program or accommodation, you acknowledge and assume all risks associated with participation, including but not limited to physical and psychological injury.
Release of Liability: You agree to release Spirit Camp LLC and its affiliates from any liability for injuries or damages incurred during the this program or accommodation booking.
Waiver Signing: All participants must sign a liability waiver upon arrival at Spirit Camp or digitally in advance. The waiver will outline specific risks and responsibilities associated with onsite visits and participating in breathwork and other program activities.
5. Program & Booking Modifications
Changes to the Program or Booking: Spirit Camp reserves the right to make changes to the program schedule or activities.
Force Majeure: In the event of unforeseen circumstances beyond our control, such as natural disasters, public health emergencies, or other events that prevent us from hosting your program, we will offer a refund for any payments made for individual bookings (minus admin fees).
Refund Process:
In the case of Force Majeure, we will initiate the refund process once the event is over, and it is safe to do so.
Please note, that due to the nature of Force Majeure events, refunds may be delayed and could take up to 180 days to process depending on the situation and the recovery time needed after the event.
We will also work with you to reschedule your booking to a future date, if applicable, without penalty, subject to availability.
Camp Closures Due to Emergencies: If Spirit Camp needs to close due to unforeseen circumstances such as wildfires, public health emergencies, or other events beyond our control, we will notify you as soon as possible and offer a refund or the option to reschedule for a later date.
6. Recommended Insurance for Individual Bookings
As an individual booking a program or lodging, we highly recommend securing appropriate insurance coverage to protect yourself from unforeseen events before or during your booking. The following types of insurance coverage should be considered:
A. Travel Insurance (Highly Recommended)
Travel insurance is essential for protecting yourself from unforeseen travel-related events, including trip cancellations, medical emergencies, and travel delays. We highly recommend purchasing comprehensive travel insurance that covers:
Emergency Medical Insurance: Covers medical expenses in case of illness or injury during your retreat.
Trip Cancellation Insurance: Protects your investment in case you need to cancel your trip due to unexpected circumstances.
Trip Interruption Insurance: Covers unexpected interruptions or delays during your retreat, including severe weather or travel issues.

B. Cancellation Insurance
If you are booking an accommodation and/or retreat program and want additional peace of mind, we recommend purchasing specific Cancellation Insurance to protect against any unforeseen changes to your plans. This is especially useful in case of illness or emergencies that prevent you from attending the retreat.

7. Community Agreements
By booking a program and/or accommodation(s) at Spirit Camp, you agree to adhere to the following Community Agreements created to maintain a space where healing, authenticity, embodiment, and connection can flourish:
A. Substance-Free Space
Spirit Camp is a substance-free space. Alcohol, cannabis, narcotics, or entheogenic substances are not permitted on the property. Beer and wine are only available through our Elixir & Mocktail Bar Add-on, when booked in advance.
B. Kitchen Conduct
Our kitchen is vegetarian, and we welcome dairy and eggs. Chicken or fish may only be prepared by a professional caterer with prior written approval. The caterer must provide separate cookware for meat to maintain the kitchen's vegetarian-friendly environment.
C. Smoking Policy
For fire safety, the property is smoking-free. Smoking is not allowed near buildings or trees, but a designated smoking area for tobacco is available in the parking lot next to the ash tray.
D. Fragrance Guidelines
As a fragrance-sensitive facility, we ask that you refrain from wearing strong colognes or perfumes. If you wish to burn incense or plants in communal spaces, we encourage you to choose plants connected to your cultural and ancestral roots. For safety, please always attend to open flames held in a safe container and ensure they are extinguished before leaving any space.
E. Pet Policy
Please leave your furry friends at home. While we love animals, our no-pet policy is in place to protect the environment, wildlife, and to accommodate guests with pet allergies. Exceptions are made for trained service animals as defined by the ADA, and resident pets. Wedding couples may request to bring a well-trained dog, subject to approval at the time of booking.
F. Communal Space Cleanliness
Help us keep communal spaces clean and welcoming, especially by tidying up the kitchen after meals. Please treat our land and spaces as if they were your own home, cherishing and caring for them with respect.
8. Guest Code of Conduct
Respect for Others: All guests are expected to treat each other with respect and kindness.
Participation: While participation in program activities is encouraged, it is not mandatory. For certification training programs, participation and engagement in scheduled activities may be required to receive certification. The retreat leader will use their discretion in determining whether participants meet the requirements for certification.
Personal Responsibility: All guests (participants and program leaders alike) are responsible for their own well-being during any program or visit. This includes acting in accordance with the Spirit Camp Community Agreements listed above. Should any misconduct or violations of the Agreements occur, we encourage guests to report these concerns immediately to the retreat leader or staff.
In cases of misconduct, we are committed to a conflict resolution and repair process as our primary approach. This process may involve mediation, open discussion, and active efforts to address the underlying issues. Removal from the program or retreat space is only considered after all avenues for repair have been explored. We believe in creating a space for healing and repair, rather than avoiding difficult conversations or issues (bypassing) or ending participation without addressing the underlying concerns (cancelling). Our goal is to maintain a safe, supportive environment where all participants can heal and grow, and we take these matters seriously.
